The Staff tab has recently been renamed and moved to a new location under the Users tab on the top of any page. It is no longer available in Settings.
Multiple user accounts can be created for your facility's employees to access the Management App. There are several different user roles that are used to maintain the security of your FitnessOnDemand schedule by limiting access to specific features in the Management App per user.
Adding Staff Users
Shortly after a FitnessOnDemand system is purchased, an owner invite will be sent via email to the purchaser. Follow the link in that email to set up a password and log in to the Management App for the first time. The Owner and other Manager users can add new users to the zone.
Live Only Zones are owned by the user who creates the zone. Users are added and managed in the same method for both Virtual and Live Only zones.
To add a new user:
- Navigate to the Users tab
- Select Staff at the top of this page
- Fill out all of the required fields
- First Name, Last Name, and Email are required.
- Phone Number and Competencies are for informational purposes for your other users.
- Select the zones and roles you would like to add the subscriber to. Multiple roles can be selected for the same zone.
If this is a brand new user they will receive an email invite. They will need to follow the link in the email to accept the invite and set a password. If the user that you added already has a FitnessOnDemand user, the new zone will simply be added to their user account and will be immediately accessible.
You can edit a user's roles and permissions by clicking the Edit link next to their user account. If you add a new virtual or live zone to your facility you can give other users access to that zone by editing their existing user accounts.
Batch Upload
The Batch Upload can be used to add multiple Instructor-level users to your account in a single action.
- Download the template attached at the bottom of this article titled Batch Upload Template.csv
- Edit the csv in an application on your computer such as Excel or Notepad
- Add a row for each instructor and fill in the data in each column.
- The first row is filled with headers and should be left unedited
- The second row has example data and can be removed
- First Name, Last Name, and Email are required.
- Phone Number and Competencies are for informational purposes for your other users.
- Save the file as a csv with a new name.
- In the Management App navigate to the Users tab
- Select Staff at the top of this page
- Use the Facility drop-down on the top-right to choose the appropriate facility.
- Select the Zone in which you would like the instructor added.
- Press Choose File and select the csv that you saved in step 4.
- Press Import
Role Permissions
There are several roles that can be used to restrict access to specific features in the Management App
Owner
Each zone will only have one owner. This is the user who purchased the FitnessOnDemand kiosk or created the Live Only Zone. The Owner has access to all features in the Management App for the zone.
In order for an Owner to be set as an instructor for a Live Class they will need to have both the Owner AND Instructor roles selected.
Manager
Zone managers have the same permissions as owners and can access all features for the zone.
In order for a Manager to be set as an instructor for a Live Class they will need to have both the Manager AND Instructor roles selected.
Staff
A Staff user is able to:
- Browse and preview classes
- Add/Edit scheduled events
- View Reports
- Create a Live Class
A Staff user is NOT able to:
- Subscribe to Elective Channels
- Add/Edit Users
- Set the Idle Screen
In order for a Staff user to be set as an instructor for a Live Class, they will need to have both the Staff AND Instructor roles selected.
Instructor
The Instructor role is the only role that makes the user available to be used as an instructor for a Live Class.
An Instructor is able to:
- Browse and preview classes
- View the zone's schedule
- View scheduled event details
- Create a Live Class
- Add/Edit scheduled virtual events
- View Reports
An Instructor is NOT able to:
- Subscribe to Elective Channels
- Add/Edit Staff Users
- Add/Edit/View FLEX Users
- Add/Edit/View FLEX Customizations
- Set the Idle Screen/Circuit
Login Troubles
If you get a message during login stating Incorrect Username or Password it indicates that you do have a valid user under the email address entered but the password is incorrect. You can reset your password here. You will receive an email with a temporary password and a link to set a new password using that temporary password.
A message stating User does not exist indicates that the email address entered is not associated with any user accounts. Verify that your email address is entered correctly. If your email is correct, please reach out to the owner or manager at your facility to send you a user invite to gain access to your facility in the Management App.
If you are redirected to a page that prompts you to Change your temporary password and Sign in to Fitness On Demand account, it indicates that you have not yet accepted your initial user invite. Check your email for an invite for the Management App with your temporary password. If you do not have that email, please reach out to FitnessOnDemand Technical Support here to be sent a new invite.
